Personal Assistant and Financial Administrative
 
Main duties:
·       Administrative support to the financial aspects (compilation of financial and accounting information; invoicing; collections)
·       Providing administrative assistance to the management performing a variety of administrative tasks.
·       Maintaining management agenda’s and assist in planning appointments, travels, and meetings.
·       Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried out timely and efficiently.
·       Handle confidential documents and information ensuring they remain secure.
·       Receive and screen phone calls and redirect them when appropriate; handle and prioritize all outgoing or incoming correspondence.
·       Ensuring information is organized and easily accessible.
·       Conduct research and prepare presentations, reports, minutes of meetings, memos, letters, and other documents.

Success Profile:
 
Hard skills:
·       Bachelor’s degree in management or related field (mandatory).
·       Proven experience as a personal assistant or in similar administrative roles, preferably in a financial or lawyers’ environment.
·       Solid knowledge of productivity software, such as Microsoft Office (Word, Excel, PowerPoint), and time management tools.
·       Experience in preparing basic financial reports and familiarity with financial terminology.
 
Soft Skills:
·       Fluency in Portuguese and English (mandatory).
·       Excellent verbal and written communication skills.
·       Ability to handle confidential information with discretion and professionalism.
·       Strong organizational skills and ability to manage multiple tasks and deadlines.
·       Strong aptitude for working with numbers and meticulous attention to detail.
·       Proactive attitude and solution-oriented mindset.
·       Ability to remain calm and professional in different cultural situations.
·       Adaptability and flexibility to handle changes in priorities and unforeseen demands.
