STAIRS - People Advisors is a human resources consultancy company that offers, among others, executive search and recruitment & selection services. 
We are assisting a well-established and highly regarded professional services firm in the selection, recruitment and hiring of an Administrative Assistant to provide high-level administrative and organizational support to leadership.

This role requires a discreet, highly organized, and proactive professional, capable of operating in a demanding and fast-paced environment, ensuring the smooth running of executive and administrative activities.


Main Responsibilities
- Provide day-to-day administrative support to senior leadership and the wider team.
- Manage calendars, meetings, appointments, travel arrangements, and changing priorities.
- Prepare reports, presentations, meeting minutes, correspondence, and other documentation.
- Organize and maintain records, files, and confidential information with accuracy and discretion.
- Support invoicing, expense follow-up, document control, and other administrative-financial tasks.
- Liaise with external entities and service providers, including banks, notaries, public authorities, and registry offices.
- Ensure timely communication and follow-up with clients, suppliers, and other stakeholders.
- Contribute to the smooth running of daily office operations through strong coordination and attention to detail.
 
Candidate Profile
The successful candidate will play an important role in ensuring efficiency, structure, and smooth coordination across a range of administrative and executive support activities.


Hard Skills
- Degree in Business Administration, Management, Languages, or a related field.
- Fluency in Portuguese and English.
- Previous experience in an administrative support role, ideally within a professional services, legal, financial, or tax-related environment.
- Strong command of Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
- Experience in preparing professional documentation, reports, presentations, and minutes.
- Familiarity with invoicing, expense tracking, document management, and administrative-financial processes.
- Ability to manage calendars, travel arrangements, and multiple administrative workflows efficiently.
